The credit desk

Take cash, cheque or online payment against any pending line, for one family or many at once. Every rupee leaves a record on its way to the Sangh.

The credit desk is where a member's question, "how much do I owe?", gets an answer and a receipt in the same minute. It is also where the Sangh's money is most exposed. So this screen is built on records, not on trust.

The workflow

  1. Find the family

    Type a name or membership number. The family statement opens with one figure across every khata, and the pending lines listed under it.

  2. Take the payment

    Choose cash, cheque or online. Pay one line, several, or the whole balance. A cheque records its number and bank. An online payment records its reference.

  3. Cash goes into a wallet

    Cash a volunteer collects goes into their wallet, not straight into the Sangh's books. The wallet shows what they are holding at any moment.

  4. Hand it over to the Sangh

    At the end of the session the volunteer settles the wallet. The settlement is its own record, signed by both sides, with the payments behind it listed.

What if a payment is recorded against the wrong line?

Reverse it. The original payment stays in the ledger marked as reversed, a new one is written against the right line, and both appear in the activity log. Nothing is edited in place.

Can one payment cover several khatas?

Yes. A family often pays its whole balance at once. The desk spreads the amount across the pending lines you select, and each khata receives exactly its share.

Who can take payment?

Only users whose role includes that right. A volunteer can be given "take payment" without "edit pledge" or "export report".

How do expenses work?

Expenses are recorded by category and vendor, against a khata, with a bill attached if you have one. They appear in the event and yearly reports next to collections.
